What you send
- Your asset list: tag, asset type and location. A spreadsheet, an export from your CMMS, or a photo of the whiteboard all work.
- Which CMMS: MaintainX or Limble. For other systems, we agree the generic CSV, available import guidance and any additional mapping requirements before you pay.
- Technician hours per week and which trades you have (mechanical, electrical, HVAC, contractor).
- The start date you want the first PMs to land on.
- Any frequencies your equipment manuals, insurer or authority require. We use those over the library defaults.

Every asset in a clean naming convention with a criticality rank and the nameplate fields to fill in. This is the foundation your work orders will hang off.
PM schedule
One PM per asset per task, due dates staggered across the year so annuals and quarterlies never pile into one week, with a 52-week workload chart checked against your hours.
Checklists
Every PM with step-by-step procedure, parts and consumables, safety requirements and pass/fail criteria, edited to your frequencies.
Parts and consumables list
Everything the PMs call for, de-duplicated, ready for your storeroom min/max setup.
Import files and loading instructions
Files formatted using MaintainX or Limble's published import guidance, with a loading note explaining what your administrator needs to enter, check and configure.

The full Maintenance Planner Toolkit (USD 99) is included, so you can keep adding assets yourself afterwards. One round of revisions and email questions for 30 days after delivery.
Before you buy: what still happens in your CMMS
- MaintainX: The CSV importer creates work orders. Your administrator still sets recurring schedules, creates tickable Procedure checklists and links parts records in MaintainX. Our guide explains those steps.
- Limble: Files follow Limble's published PM template layout; meter triggers, attachments and extra parts are set in-app. Your administrator supplies the account-specific asset and assignment details and checks the current sample file.
- Other systems: We provide a generic CSV. We agree the available import guidance and any additional mapping requirements before you pay; compatibility is not automatic.
Compatibility status: These layouts follow published vendor guidance. We have not yet completed an end-to-end import test in either MaintainX or Limble.
Scope and price
- USD 499, one payment, no subscription. Paid after we confirm scope, before we start.
- Covers up to 50 assets across our 12 asset types: belt and MDR conveyors, dock levelers, dock doors, forklifts, pallet jacks, stretch wrappers, air compressors, HVLS fans, HVAC rooftop units, diesel generators, electrical panels and MCCs.
- More than 50 assets, or asset types outside the 12: we quote before you pay. New types get written PMs, not padding.
- Delivery in seven working days after payment and receipt of the complete setup information.
- If the import file does not load in your CMMS, we fix it. If we cannot, you get your money back.
To help us troubleshoot, email the importer's error message or a screenshot with sensitive details removed.
We work by email. One revision round and email questions for 30 days after delivery are included. Account access, calls, screen shares and in-app configuration are not included.
Frequencies and procedures are starting points. Your team must review them against the equipment manuals, operating conditions and applicable safety requirements before use.
How to start

- Within one working day you get a scope confirmation, any questions, and a payment link.
- Seven working days after payment and receipt of the complete setup information, your files arrive by email.

Your asset list is used only to build your program. It is not shared and is deleted 30 days after delivery on request. Frequencies and procedures are a starting point; verify them against your equipment manuals and local regulations.
